ShiftSeat, LLC Effective date: August 27, 2026 Last updated: August 27, 2026
ShiftSeat, LLC (“ShiftSeat,” “we,” “us”) operates the ShiftSeat platform, including the ShiftSeat mobile applications and shiftseat.ai. This policy explains what information we collect, why we collect it, who we share it with, and the choices you have.
ShiftSeat is a marketplace that connects fleet owners (“ISPs” — Independent Service Providers operating under a motor carrier’s authority) with commercial drivers for short-term engagements. We are not a motor carrier, a freight broker, or an employer of any driver.
1. Information we collect
Account and profile information. Your name, email address, phone number, and the password you set. For drivers, this also includes the professional qualifications you choose to enter, such as license class, endorsements, and program approvals.
Carrier-issued driver identification numbers. Drivers may provide an identification number issued by a motor carrier. We collect this solely to verify eligibility for an engagement. It is never displayed publicly, never included in emails or generated documents, and is made available in the application only to an ISP that has accepted you for an engagement. Each access is logged.
Business information. For ISPs, the legal entity name, entity type, principal business address, and details of the trucks you post, including unit number, VIN, equipment specifications, and lane information.
Location information. When you complete an inspection or record an engagement milestone in the app, we capture the device’s location at that moment along with a timestamp. This creates the shared, verifiable record that both parties to an engagement rely on if a dispute arises. We do not track your location continuously and we do not collect location data in the background.
Photographs. Photos you take or upload through the app, including truck condition photos, VIN photos, entry and exit inspection photos, and any photos submitted to support a holdover, breakdown, or condition claim. These photos carry the location and timestamp described above.
Engagement records. Agreements you sign, the terms in effect when you signed them, your typed initials and acknowledgments, and the timestamps of each. These records are retained as the authoritative record of the engagement.
Payment information. Payments are processed by Stripe. Stripe collects and stores your payment and payout details directly. ShiftSeat does not receive or store full payment card numbers or bank account numbers.
Technical and diagnostic information. Device type, operating system version, app version, IP address, and error and crash reports. We use this to keep the service working and to diagnose problems.
We do not collect information about your race, ethnicity, religion, political views, health, or other sensitive categories, and we ask that you do not submit such information through the platform.
2. How we use your information
We use the information above to:
- Create and maintain your account and authenticate you
- Match drivers to posted trucks and ISPs to available drivers
- Generate, present, and record engagement agreements
- Verify driver eligibility with the motor carrier under whose authority a truck operates
- Process engagement funding and payouts through our payment processor
- Maintain the timestamped evidence record used to resolve disputes between parties
- Send you transactional messages such as password resets, application status updates, and engagement notifications
- Diagnose errors, prevent fraud and abuse, and keep the platform secure
- Comply with our legal obligations
We do not sell your personal information. We do not share it with advertisers. We do not use it for advertising or for tracking you across other companies’ apps and websites.
3. Information shared between users
ShiftSeat is a two-sided marketplace, so some information is shared between the parties to an engagement by design:
- When you apply to a listing, the posting ISP sees your name, your self-reported qualifications, and your application.
- When an ISP accepts you, the ISP additionally receives your carrier-issued driver identification number for verification purposes, with each access logged.
- When an agreement is signed, both parties receive a copy of the agreement naming the parties to it.
- Inspection records, photos, and engagement milestones are visible to both parties to that engagement.
Your profile is not public. Drivers who have not applied to your listing, and ISPs whose listings you have not applied to, do not see your information.
4. Service providers
We share information with a small number of providers who process it on our behalf, under contract, only for the purposes described in this policy:
- Stripe — payment processing, escrow funding, and payouts
- Supabase — database hosting and account authentication
- Microsoft Azure — application hosting
- Resend — delivery of transactional email
- Sentry — error and crash diagnostics
We may also disclose information where required by law, in response to valid legal process, to protect the rights or safety of any person, or in connection with a merger, acquisition, or sale of assets.
We may share information with the motor carrier under whose authority a truck operates where that carrier requires it to complete a driver qualification or fleet transfer, and where you have asked us to proceed with an engagement requiring it.
5. How long we keep information
We keep your account information for as long as your account is active.
Signed engagement agreements, inspection records, and the associated evidence record are retained for seven years after the engagement ends. These records document a commercial agreement between two parties and may be needed to resolve a later dispute or to satisfy tax and regulatory obligations, so they are retained even if you close your account.
Diagnostic and error data is retained for up to 90 days.
6. Your choices and rights
Access and correction. You can view and update most of your information in the app under your profile.
Deleting your account. You can delete your account from within the app, or by emailing privacy@shiftseat.ai from the address on your account. We will delete your account and personal profile information within 30 days. As described in Section 5, signed agreements and engagement records will be retained for the periods stated there.
Location and photos. The app asks your permission before accessing location or your camera. You can decline, or change permission at any time in your device settings. Some features — inspections in particular — cannot function without them.
Email. Transactional messages such as password resets and engagement notifications are part of the service and cannot be turned off while your account is open. Any marketing email we send includes an unsubscribe link.
State privacy rights. Depending on where you live, you may have additional rights to access, correct, delete, or obtain a copy of your personal information, and to appeal a decision we make about such a request. Email privacy@shiftseat.ai and we will respond as the applicable law requires. We do not sell personal information or share it for cross-context behavioral advertising.
7. Security
We use encryption in transit, authenticated access controls, and logged access to sensitive fields such as carrier-issued identification numbers. No system is perfectly secure, but we take reasonable measures appropriate to the sensitivity of the information we hold.
8. Children
ShiftSeat is a commercial platform for licensed commercial drivers and the fleet owners (ISPs) who engage them. It is not directed to children and we do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it.
9. Where information is processed
ShiftSeat operates in the United States and information is processed here. The platform is currently available only in the United States.
10. Changes to this policy
We will post any changes on this page and update the “Last updated” date above. If the changes are significant, we will notify you in the app or by email before they take effect.
